This Privacy Policy explains what information we collect, how we use it, and the choices you have regarding your data when you use the SmartAiCallers platform and website (collectively, the "Service").
By using the Service, you agree to the collection and use of information as described in this policy. If you are using the Service on behalf of a business, you represent that you have authority to bind that business to this policy.

- Account Information. When you create an Account, we collect your name, business name, email address, and billing details. This information is required to provide the Service.
- Business Configuration Data. Information you provide to configure your AI, including business hours, parts inventory or catalog uploads, FAQs, and call routing preferences.
- Usage Data. Log data about how you interact with the Service, including pages visited, features used, session duration, IP address, browser type, and device information.
- Communications. If you contact our support team, we retain records of those communications to help resolve issues and improve our Service.
- Payment Information. Billing details are collected and processed by our third-party payment processor. We do not store full credit card numbers on our servers.
- End User Call Data. When your callers interact with the Service, we may collect caller phone numbers, call timestamps, duration, conversation transcripts, and any information the caller provides during the call (such as name, part requests, or order details).
Call & Voice Data
Because the core function of SmartAiCallers is AI-powered voice call handling, we want to be especially transparent about how call and voice data is treated.
- Call Recordings. Calls handled by the Service may be recorded. As the business using our Service, you are responsible for ensuring that applicable call recording disclosure and consent requirements are met in your jurisdiction. Many U.S. states require that callers be notified when a call is being recorded. We recommend playing a disclosure message at the start of each call.
- Transcription. Voice calls may be transcribed by our AI systems to generate call summaries, analytics, and order records. Transcripts are stored in your Account dashboard.
- AI Training. We may use aggregated, de-identified call data and transcripts to improve the AI models that power the Service. We do not use individually identifiable caller information to train AI models for general commercial purposes without appropriate legal basis.
- Data Minimization. We only collect call data necessary to operate the Service and provide you with call analytics and order capture features.
How We Use Your Information
We use the information we collect for the following purposes:
- To provide, operate, and maintain the Service
- To process your subscription payments and manage billing
- To set up and configure your AI based on your business information
- To generate call analytics, order reports, and dashboard insights
- To send transactional communications such as account confirmations, billing receipts, and support responses
- To send product updates and marketing communications (you may opt out at any time)
- To detect, prevent, and address security incidents or fraudulent activity
- To improve, research, and develop new features and capabilities of the Service
- To comply with legal obligations
We do not sell your personal information to third parties for their own marketing purposes.
Information Sharing
We do not sell, rent, or trade your personal information. We may share your information only in the following circumstances:

Data Retention
We retain your Account information and business configuration data for as long as your Account is active and for a reasonable period after termination to allow you to export data and to fulfill our legal obligations.
Call recordings and transcripts are retained for a rolling period based on your subscription plan. You may request earlier deletion by contacting us at support@smartaicallers.com.
Aggregated, de-identified usage data may be retained indefinitely for analytics and product improvement purposes, as it no longer constitutes personal information.
Data Security
We implement industry-standard technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption of data in transit and at rest, access controls, and regular security reviews.
Payment information is processed through PCI-DSS compliant payment processors. We do not store raw payment card data on our servers.
No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. In the event of a security breach that affects your personal information, we will notify you in accordance with applicable law.
Your Rights & Choices
